MHPS : Rules and Constitution

1. The Society shall be called the
Market Harborough Photographic Society.
2.The objectives of the Society shall be to foster and promote a greater interest in Photography as a hobby and to assist its Members to improve their photographic skills and knowledge. These objectives shall be achieved through Practical and Social Meetings, by lectures, demonstrations and competitions, and by any other means which from time to time may be deemed appropriate.
2. Subject to the approval of the Committee, membership of the Society shall be open to any person on payment of an Annual Subscription.
3. The rate of Annual Subscription shall be determined at a General Meeting of the Society. Subscriptions shall become due and payable on admission, and thereafter at the first Meeting of the Society in each subsequent September. Membership shall continue until receipt of resignation or at such time as a subscription becomes overdue by three calendar months.
4. The Officers of the Society shall be: President, Chairman, Vice Chairman, General Secretary, Treasurer, Programme Secretary, Competition Secretary and External Competition Secretary.
5. The management of the Society shall be vested in a Committee comprising the said Officers and three other elected Members (saving that the Office of President does not of necessity carry Committee Status). The President, Officers and Committee Members shall stand down but shall, if so invited, be eligible for re-election. Committee places left vacant at an Annual General Meeting, or which may become vacant during a season, may be filled by vote at any Meeting of the Society.
6. The power of the Committee shall include all management functions other than alterations to the Constitutional Rules of the Society. The Committee shall have Powers to co-opt any Member to serve on the Committee for a special purpose or on any Sub-Committee formed for a similar reason. Such Members shall be co-opted in an advisory capacity only, and shall not be eligible to vote. At any Committee meeting a minimum of four elected members shall form a quorum.
7. The Financial Year of the Society shall end on the last day of April. The funds of the Society, other than such sums as may be required for immediate use, shall be lodged at a Bank or Building Society. Cheques shall be signed by any two of the four designated signatories.
8. The Annual General Meeting of the Society shall be held in June of each year at which meeting the accounts of the Society shall be presented.
9. At least seven days notice shall be given of any General Meeting of the Society. On any Society matter on which a vote is taken, only fully paid-up members of the Society shall be entitled to vote.
10. The Society's Constitutional Rules shall not be altered in any other way than at a General Meeting of the Society.
11. 12. Proposed changes to the rules or Constitution shall be submitted in writing to the General Secretary not later than 21 days before the AGM, and such proposals shall be posted on the Society’s notice board not later than 14 days before the AGM

COMPETITION RULES
1. PRINT AND PROJECTED IMAGE COMPETITION
1.1 This Competition will be run as a series of five heats spaced throughout the season. Marks will be cumulative for each category but only the best four results will be used to determine the final position.
1.2 Members may submit up to three pictures per Heat in each category.
1.3 Trade processed Colour Prints, Monochrome Prints (including digital prints) or Transparencies are permissible,.
1.4 All prints must be mounted. Mounting must be the unaided work of the Entrant. The Author’s name must appear on the back of the mount. Titles may be either on the back or front. Where there is no title the words “No Title” must be recorded on the back.
1.5 Maximum permitted print size is 50cm x 40cm (19 3/4” x 15 3/4”) including mount. Minimum Print area shall be 260cm sq (40” sq) but the major linear print dimension shall not be less then 23cm (9”), both exclusive of mount. Prints need not be confined to conventional rectilinear shapes.
1.6 Transparencies shall be 2”x2” mounts which shall be marked with a spot on the bottom left hand corner of the mount when viewed as it is to be seen on the screen. The author’s name and the title shall be marked on the mount. If there is no title then mounts shall be marked “No Title”.

1.7 Digital images for projection shall be in JPEG format, size 1024 x768 pixels. The file name shall include the title and author’s name. Files shall be submitted on a CD clearly labelled with the author’s name, date and competition details.



1.8 Judging shall be by suitably qualified members of other societies or by such other methods as shall be determined from time to time. Each picture shall be awarded marks out of twenty. The highest single mark of each entrant in any Heat shall be used to calculate that entrant’s score for the heat.
1.9 At the end of the season the trophies will be presented to the member(s) having the highest cumulative total and the runner(s)-up. Trophies shall be held for one year.
1.10 Once a picture has been entered in any heat, it will be ineligible for entry in any subsequent heat of the same competition. However, it is permissible to enter a new picture from the same negative provided it has been processed so as to produce an alternative rendering of the image. Prints entered in the standard competition heats are eligible for entry (if appropriate) to the Versatility or Portrait Competitions & vice versa
1.11 In the event of fewer than three members submitting work for a Heat, that Heat shall be either abandoned or postponed. Pictures submitted for a postponed or abandoned heat shall be eligible for entry to a subsequent heat.

2 PORTRAIT COMPETITION
2.1 The Portrait Competition shall be held annually.
2.2 Each member may submit up to four pictures. These may be in either Monochrome or Colour and may either be prints or projected images or a mixture of all.
2.3 For printing, finishing, mounting, permissible picture and mount sizes, and titling, rules 1.3, 1.4, 1.5 and 1.6 shall apply.
2.4 Judging shall be by suitably qualified members of other societies or by such other methods as shall be determined from time to time.
2.5 There is one trophy and this shall be awarded for the Best Portrait regardless of whether it has been presented in print or projected image format.

3 VERSATILITY COMPETITION
3.1 The Versatility Competition will be held annually. It will be divided into two sections - A) for Projected images and B) for prints.
3.2 The objective of the Versatility Competition is to demonstrate the versatility of the entrant as a photographer. Members may compete in either group A or B but not both. The contest will be decided on the result of a single heat in each group. It will replace and extend the scope of the former Mary Greenlees Competition for slides only.
3.3 Each entrant shall submit either four projected images or four prints, which, in the opinion of the entrant will demonstrate his/her ability in a wide range of picture taking situations.
3.4 Prints and projected images shall be prepared and presented in accordance with Rule 2.3 and the same dimensional size limits shall apply.
3.5 Judging will be in accordance with Rule 2.4 and the winner of each class shall be the entrant who, in the opinion of the Judge has shown the greatest ability in the widest range of photographic situations (e.g. landscape, still life, sport, portraiture, macro, etc).
The Mary Greenlees Cup will be awarded for the winning projected image entry. The Ward Tankard trophy will be awarded for the winning Print entry.

4. SMALL PRINT COMPETITION
4.1 The objective of the Small Print Competition is to provide a low cost competition for members.
4.2 This Competition will be run as a series of five heats spaced throughout the season. Marks will be cumulative for each category but only the best four results will be used to determine the final position.
4.3 Photographs entered in this competition must be taken by the entrant and may be either monochrome or colour and should be trade processed. Members may enter up to three prints in each heat.
4.4. Prints can be from standard trade enlargements or digital images printed by the author but not manipulated or adjusted in any way. They must be the whole image and not a selected area enlarged. Maximum size is 7.5" x 5", subject to minor trade variations. These dimensions are exclusive of mount. There is no minimum print size
4.5 All prints must be mounted. Mounting must be the unaided work of the entrant. The author's name must appear on the back or front of the mount but where there is no title then mounts should be marked "No Title".
4.6 Judging shall be by a consensus of Members' opinion or by such alternative methods as shall be determined from time to time.
4.7 The Small Print Trophy will be awarded to the Member with the highest cumulative score and will be held for one year. The Lubenham Trophy will be awarded to the runner-up in the Small Print Competition.
4.8 Once a picture has been entered in a heat, it will be ineligible for entry in any future Small Print Heat. However, prints from the same negative or digital file , enlarged and/or manipulated will be eligible for entry in to other competitions.
4.9 In the event of fewer than four members submitting work for any one heat, the conditions of Rule 1.10 shall apply.

5. PANEL COMPETITION
5.1 The Panel Competition shall be held as and when the Committee decide.
5.2 Each entrant shall submit one panel on white card 20" x 32" overall, which
will be supplied by the Committee at cost.
5.3 The entrant may colour the card by any means.
5.4 Any number of prints may be mounted on the card, but they must not overlap the edges of the card.
5.5 The card may not be cut in any way.
5.6 The images must be taken by the author, but processing may be by the author or commercially undertaken.
5.7 Any subject(s) or theme(s) may be chosen for the Panel.
5.8 Entries will be judged by a Judge or Judges from outside the Society.
5.9 The winner shall be the entry which, in the Judge's opinion, has the greatest merit, based on such criteria as the Judge may consider appropriate.
5.10 In the event of fewer than four entries, then rule 1.10 shall apply

6. ANNUAL EXHIBITION - ENTRY DETAILS
PRINT AND PROJECTED IMAGE,
6.1 Each member can enter up to 10 prints and/or up to 10 projected images, both in any mixture of colour and monochrome. These are to be listed on a form (which will be distributed approximately three weeks before the event), in order of preference for display. In the event of there being insufficient space to exhibit all entries some can then be omitted. Prints can be ‘large prints’ as would be entered in the Print & Projected Image Competition, or can be ‘small prints’ as would be entered in the Small Print Competition using the appropriate rules from those competitions relating to sizes and mounting (See appropriate points of rules 1 and 4 above).
6.2 Judging shall be by a suitably qualified judge (as would be used for the Print and Projected Image competition) or by member(s) of other societies as circumstances dictate. There will be a winner chosen in each category of large print, small print and projected image with one of these chosen as the ‘Best in Exhibition’. There will also be a number of highly commended and commended images again chosen from all entries, the number of these being at the judge’s discretion.
